Annual Leave Booking & Bank Holiday Requirements
Sent on behalf of MEH HR to all MEH white collar employees: requirements for the upcoming bank holidays and clarification on the annual leave booking process.
Annual leave booking process
Any annual leave requests must be booked in the Timesheet Portal Leave Calendar prior to being booked into your parent company systems. Your MEHA Functional Line Manager is responsible for your day-to-day work and the team in which you work, and they will approve or reject your leave. Once it is approved in Timesheet Portal, you must then book it in your parent company system.
Due to the fact compressed hours allow an earlier finish on a Friday or a later start on Monday, you will need to ensure that your hours for the week remain the same. Your contractual daily hours (7.5 hours if on a 37.5-hour contract) must be added to your timesheet on the relevant day, and the remaining contractual hours (30 hours for most employees) must be worked over the rest of the week. Leave bookings for a Monday or Friday must be booked in the Timesheet Portal Leave Calendar as a full day.
If taking a full week's leave, you must book 5 days holiday.
Bank Holidays
- Bank Holidays will be automatically added to your Timesheet Portal Leave Calendar. There is no requirement for you to book them as a day's leave.
- You will still need to add the hours for the Bank Holidays to your weekly Timesheet for the relevant days under the ‘Holiday’ Task Code.
- The Bank Holidays covering Easter, early May, late May and August are set. By exception, if you need to work on a bank holiday and it is agreed with your MEH Functional Line Manager, email the MEH HR team for action and audit purposes. This day/s will be added to your leave balance to use at another time. You will need to agree with your parent company how this time can be recorded.
- Bank Holidays are subject to the same conditions as annual leave booking. Your contractual daily hours (7.5 hours if on a 37.5-hour contract, adjusted to suit contractual hours) must be added to your timesheet on the relevant day, and the remaining contractual hours must be worked over the rest of the week.
Bank Holidays and travel time
Where employees would normally travel on a Bank Holiday, this travel can be moved, but this needs to be approved by the relevant Functional Lead, and the remaining contractual hours will need to be worked over the remaining working days.
Monthly checks
Moving forward, a report will be sent to each parent company every month to ensure the holiday dates are booked correctly in both systems. Any incorrect bookings may be rejected or amended and could result in overpaid monies being reclaimed.
